A client hands over a Pantone reference and expects to see it reproduced exactly on fabric. It’s a reasonable request, but one that can’t always be technically guaranteed, and explaining why is one of the most common conversations for anyone who handles color approval on a daily basis.

The problem starts with the logic of each system

Pantone was created as a reference color system, what the industry calls a spot color: a fixed, pre-defined color, originally designed for direct-mix inks.

Digital printing works differently. It builds each color from a combination of process inks, within a color gamut that is always limited by the equipment and inks being used. When a Pantone color falls outside that gamut, there’s no way to reproduce it exactly. What exists instead is an approximation, chosen by the RIP or the color management software, within the color space the machine can actually produce.

This difference in logic, a fixed reference versus a limited color space, is the root of nearly every question about color approval.

The file is only part of the equation

A common mistake is assuming the final result depends only on the file sent to print. In practice, it depends on a set of variables that interact with one another: the type and color of the fabric, the thickness of the white base, the pre-treatment applied, the maintenance condition of the printheads, the ICC profile used, the resolution and print mode, the lighting under which the sample is evaluated, and even the washing, curing, and finishing processes the piece goes through after printing.

The same file can produce visibly different results if just one of these variables changes. That’s why two seemingly identical production runs can come out with slightly different tones, with no actual error in the process.

A structured approach reduces the margin of error  

It isn’t possible to eliminate variation entirely, but it is possible to control it. The process we recommend follows five steps: precisely define the Pantone reference and the material it will be printed on, prepare the file with consistent color management, select the ICC profile suited to the fabric, ink, and production mode, print samples and validate visually or through measurement whenever possible, and fine-tune color substitutions, curves, and profiles directly in the RIP.

Tools like Photoshop and NeoStampa come into play at different stages of this process. Photoshop controls file preparation, artwork conversion, and previewing approximations before production. NeoStampa controls how that color is translated to the machine, through specific ICC profiles and color mapping adjusted to the fabric and ink being used. Consistency only exists when both stages work from the same criteria.

The right conversation with the client

How this difference is communicated protects the client relationship just as much as the technical process itself. In digital printing, a Pantone color is a reference, not an absolute guarantee. The right approach isn’t to promise a match the color system itself can’t deliver, but to validate samples, control the process, and approve the best possible approximation within criteria defined in advance.

Without the correct profile, without testing, and without process control, there is no consistent color precision. This is the foundation of any honest conversation about color approval, and the starting point for a more predictable production process, for both the producer and the approver.
